What Do I Need to Do to Mark My Residency Complete?

3 min read

Bringing an NCOPE Residency to a successful conclusion requires:

1. Submission of all required documentation from the resident and the director/mentor

– To learn more about required documentation, please see the ‘Required Residency Forms’ tutorial by CLICKING HERE.

– The NCOPE staff usually takes around two (2) business days to review any form submission and mark it as ‘received.’ This time frame may be longer during June, July, and August due to the high volume of residents beginning and ending their residency during these months.

– The resident can confirm what forms the NCOPE staff have marked as ‘received’ in addition to other relevant documentation by running the ‘Resident Status Report’, which you can learn about by CLICKING HERE.

2. Logging all cases seen by the resident within NCOPE Tracker and ensuring that no cases are identified as ‘Missing Data.’ Any case missing data requires the resident to edit their clinical case data inside of NCOPE Tracker to ensure all required fields contain data that NCOPE Tracker can recognize.

– Please CLICK HERE to learn how to correct cases with ‘Missing Data’ including potential issues with case data sourced from EMR platforms such as OPIE or NextGen.

3. Ensuring the case logs are reflective of NCOPE requirements, including:

– Seeing all required age groups, including pediatric, adult, and geriatric cases.

– Seeing all required orthoses and prostheses

– For residents enrolled in a Combined O&P (dual-discipline) residency, the case logs should reflect spending at least 40% of their time in either discipline.

A good way to verify you have achieve no less than 40% in either discipline is by running an Exective Report of Full Report within NCOPE Tracker.

4. The resident has reached the end date of the residency, which can be verified by viewing the Resident Status Report.

Once all of the criteria are met, the NCOPE staff typically audits the resident records 3-5 business days afterward and issues a digital certificate of completion via Accredible/Credential.net and an email notice.  Should all criteria above have been met and more than 5 business days have passed since meeting all requirements, please get in touch with residency@ncope.org directly and request your records be audited for completion. Kindly include your full name, the director’s name, and the residency site (org name, city, state) so the staff can pull all required documents.
